Dear participants,
This manual describes accreditation and visa support procedures during the Test events in Sochi.
Responsible organization appoints a person (or a group of persons) responsible for the accreditation/visa process during the test events period and informs the Organizers.
Accreditation

Step 1

The Responsible organization requests the user’s login and the user’s password for accreditation system from the Organizer.

The responsible person of the Responsible organization is in charge of collecting all the personal data of the accredited persons (including scanned copies of passports and photos according to the requirements) and filling the pages “RO”, “PD” and “C” of the unified accreditation/visa form.
An appropriate column in the accreditation/visa support form should be filled if visa support is necessary from the Organizers.

The filled accreditation/visa form, scanned copies of passports and photos are sent to the Organizers via e-mail.

The responsible person of the Responsible organization collects accreditation applicants’ data and uploads the data into the accreditation system via personal account at www.s.computerica.com. Responsible organizations can either fill in the data of any person or use bulk upload option using Excel format file.

The responsible person of the Responsible organization checks the correctness of the data upload and passes to the Organizers for processing. The data for accreditation and visa support should be submitted to the Organizers non later than 30 days before the event.

Organizers inform representatives of responsible organizations that accreditation card printing is started. The accreditation cards can be picked up at the accreditation office personally or by the responsible person.

Application for Accreditation for the 2012-2013 Test Events
These instructions describe accreditation procedure during the 2012-2013 test events.
Any application (request) for accreditation is effected through the responsible organization only. Individual applications are not accepted.
Responsible organization appoints a person responsible for accreditation during the test events period and informs the Organizers about it with an official letter. A user account in the Accreditation System is created for the Responsible organization.
Step 1
The responsible person is in charge of collecting all the personal data of the applicants (including scanned copies of passports and photos according to the requirements) and filling the pages “RO”, “PD” and “C” of the Accreditation Form.
Step 2
The responsible person in the Responsible organization collects accreditation applicants’ data and uploads the data into the accreditation system via user account at www.s.computerica.com. Responsible organization can either fill in the data of any person individually or using the bulk upload template.
The Organizing Committee uses one accreditation system together with the Ministry for Sports of Russia. Once the applicant data are input into the system, they may be used to get accreditation for the competitions throughout the entire season.
Step 3
Once the data are uploaded, the responsible person must verify the accuracy and submit the form using the provided functionality of the accreditation system.
All the required data must be entered into the accreditation system minimum twenty (20) days before each event (it is highly recommended to upload personal data into the accreditation system in advance).
Background check by the Russian Security Authorities takes ten days.
Step 4
Responsible person in Responsible organization completes the access privilege matrix and approves it with the Organizers. The access privilege matrix contains a list of names of all the individuals to be accredited for a specific event, indicating sports area access for each employee for each event. Then the above list is approved at the working group meeting of the corresponding Local Organizing Committee, and by the sports federation. Access privilege matrix template is provided by the Organizers for each event upon request of the Responsible Organization.
The number of individuals having access to sports areas will be limited.
If required, access is granted through upgrade cards distribution. The number and type of upgrade cards must be agreed with the Venue Manager, Competitions Sport Manager and approved by an authorized representative of the International Sports Federation. One-time access to the venue is provided by day passes.
Step 5
The Organizers will inform about the printing of the accreditation cards. The accreditation cards can be picked up at the accreditation office personally or by the responsible person.
